Importing and activating locations
After your agency is connected, you decide which sub-accounts RollupFox reports on. Importing brings sub-accounts into RollupFox; activating a location is what actually includes it in syncs and dashboards.
Video walkthrough coming soon
Before you start
- Your GoHighLevel agency is connected (see "Connecting a GoHighLevel agency").
Import your sub-accounts
Imported locations start inactive — importing lists them, but doesn't pull metrics or count them yet.
- 1
Open the Locations screen
Go to Locations from the left navigation. The header shows how many active sub-accounts you have against your plan, for example "3 of 10 active subaccounts on the Growth plan."
- 2
Click "Import from GHL"
RollupFox pulls the sub-accounts visible to your connection into the Subaccounts table. If it's empty you'll see "No locations yet. Connect GHL, then click Import from GHL."
Activate the locations you want
Each row has an Active toggle. As the section says: "Activate locations to include them in syncs and dashboards." Turn Active on for every sub-account you want in corporate reporting; leave the rest off.
Turning a location off later excludes it — it stops syncing and drops out of dashboard totals until you re-activate it.
Plan limits
Growth allows up to 10 active sub-accounts; Enterprise is effectively unlimited. If you hit the cap you'll see "Plan limit reached: {current}/{limit} active subaccounts. Upgrade to activate more."
Sync your locations
Activating a location queues it, but you can also trigger a sync yourself. There are three ways:
- Sync (per row) — syncs a single active location. The button is disabled for inactive locations.
- Sync selected (N) — tick the checkboxes on multiple rows and sync them together. Any selected location that's still inactive is activated automatically before it syncs.
- Sync all — the header action that syncs the whole workspace.
Selected locations sync in the background, subject to GoHighLevel's API rate limit — a large batch refreshes over time rather than instantly. Track progress in the summary bar at the top.
What each row shows
The Subaccounts table has these columns: Location (name plus city/state), Region, Sync status, Last synced, Active, and Actions. The Sync status pill tells you where each location stands — the next guide explains every status.
Optional: group locations into regions
If you report by territory, use New region to create a region, or Group by state to create a region per US state and assign locations automatically. Regions let you scope the corporate dashboard to one area later.
