Sync statuses and what each one means
Every active location shows a sync status on the Locations screen — both as a pill on the row and as a summary chip at the top. Here's exactly what each status means and what (if anything) to do about it.

The statuses
- Needs sync
- The location is active but hasn't completed a sync yet. You'll see this right after activating a location, or after a non-authorization error. Run a sync to pull its data.
- Syncing
- A sync is running right now. This clears on its own when the sync finishes.
- Synced & mapped
- The last sync succeeded and every KPI is mapped for this location. This is the fully-healthy state — the location's numbers roll up to the corporate dashboard.
- Synced · mapping required
- The data synced fine, but one or more KPIs aren't mapped for this location yet. It's connected and synced — mapping is the remaining step. It is never treated as "needs sync." See "Reading Mapping Health" to resolve the mappings.
- Partial sync
- The sync ran, but one or more GoHighLevel data types couldn't be read (for example contacts), so those are excluded while the rest synced. The error note explains which data was affected.
- Auth issue
- GoHighLevel rejected the request for this sub-account. It's usually paused or deleted in GHL, or the connection lost access.
- Excluded
- The location is deactivated. It doesn't sync and isn't counted in any dashboard until you turn Active back on.
Fixing an Auth issue
On an Auth issue row, the help tooltip reads: "GoHighLevel rejected this sub-account. It's usually paused or deleted in GHL. Check the sub-account status, un-pause it and re-sync, or exclude it if it's no longer used."
You may also see a plain-language note under the pill, such as "This sub-account is inactive in GoHighLevel. Check that it isn't paused or deleted, then re-sync," or "GoHighLevel rejected the request. Reconnect the agency or check this location's access."
Reading the summary bar
The top of the Locations screen summarizes your active locations. The header reads "{connected}/{total} subaccounts synced," where connected means locations that have completed at least one sync.
The chips group locations by state: synced & mapped, synced · mapping required, syncing, needs sync, and needs attention (Auth issue, shown only when there's something to address). A Sync progress bar shows the same connected-vs-total percentage.
RollupFox syncs automatically once every hour. This cadence is set by the GoHighLevel API rate limit, so your data refreshes on its own — there's no need to expect real-time updates.
