GoHighLevel reporting for fitness franchises.
RollupFox is a corporate reporting layer for fitness franchises running each studio on its own GoHighLevel subaccount. It combines every studio's leads, intro sessions, and memberships sold into one network scoreboard that refreshes hourly.
How fitness networks run on GoHighLevel
Most fitness franchises give each studio its own GoHighLevel subaccount. That keeps day-to-day lead follow-up, class booking, and membership sales local to the studio that owns them.
The trade-off shows up at corporate. Studios rename their trial calendars, build pipelines in their own words, and tag lead sources differently. So the same intro session is labeled three ways, and no two studios count a membership the same.
RollupFox reads each studio's GoHighLevel data and applies one corporate definition on top, so leadership sees comparable numbers without asking studios to change how they work.
In practice the differences are concrete. One studio books group intros through a scheduling tool wired to a GoHighLevel calendar; another takes them by phone straight into the CRM. Membership pipelines pick up extra stages for financing or family plans, and front desks tag walk-ins, referrals, and paid ads in their own shorthand.
None of that has to change for reporting to work. You point one KPI rule at the objects that represent an intro or a signed membership, and RollupFox reads each studio's version of them. Corporate gets a like-for-like view of intro volume, show rate, and memberships sold while every studio keeps the workflow its team already knows.
An example corporate scorecard
A fitness roll-up usually starts with the metrics below. Each KPI counts from a specific GoHighLevel object.
| KPI | Counts from in GoHighLevel |
|---|---|
| New leads | Contacts created in the period |
| Intro sessions booked | Appointments on the intro/trial calendar |
| Intro session show rate | Appointments marked showed vs booked |
| No-shows | Appointments marked no-show |
| Memberships sold | Opportunities marked Closed-Won |
| Lead source | Source field and source tags on contacts |
| Stage counts | Opportunities in Lead, Trial Booked, Trial Attended, Joined |
Illustrative scorecard. Your network defines which KPIs matter and how they're counted.
One rule handles three names for the same thing
Suppose three studios each book the same free intro on a differently named calendar (illustrative):
| Location | Intro session calendar |
|---|---|
| Studio A | Free Trial |
| Studio B | Intro Class |
| Studio C | Complimentary Session |
You write one KPI rule, Intro Sessions Booked, and RollupFox matches each studio's intro calendar by naming convention. Studio C's wording is far enough off that it's flagged for review, so you add a location override pointing that one KPI at its Complimentary Session calendar. The rule stays the same for every other studio.
Trusted totals across studios
Every KPI shows how many studios are included. A studio only counts once its mapping is matched or overridden.
If a studio hasn't mapped its intro calendar yet, it's flagged in mapping health and left out of that KPI's total rather than counted as zero. That keeps the network number honest instead of quietly deflated by an unmapped studio.

Frequently asked questions
Can RollupFox roll up intro sessions when studios use different calendars?
Yes. You define one Intro Sessions Booked rule and RollupFox matches each studio's intro calendar by naming convention. Studios named too differently are flagged and handled with a location override.
How are memberships sold counted across the network?
Memberships sold count from opportunities marked Closed-Won in each studio's sales pipeline, combined into one corporate total.
Can we compare intro session show rate between studios?
Yes. RollupFox compares appointments marked showed against those booked on each studio's intro calendar, so show rate is comparable across the network.
What happens if one studio hasn't finished mapping?
That studio is flagged in mapping health and excluded from the affected KPI until it's resolved, so the total isn't understated by counting the studio as zero.
